Privacy Policy

Applies to SilentService.nl apps and services (including Link Upkeep), provided by Stil ICT.

1. Controller

The data controller is Stil ICT (SilentService.nl).

2. Scope

This policy covers personal data processed by Stil ICT in connection with:

• the website silentservice.nl;
• SilentService apps (including Link Upkeep);
• accounts, credits, invoicing and support.

No customer or supplier management by Stil ICT. The apps support your own maintenance and work administration. Stil ICT does not operate a customer or supplier database on your behalf. Data you enter about assets, work orders or contacts is content you control.

3. Local (free / standalone) version

If you use the app only on your device:

• Your data stays in the app sandbox on your device.
• Stil ICT does not receive that data and has no access to it.
• You are responsible for backups and device security.
• Online features (sharing, communication with other users, cross-environment sync, etc.) are unavailable.

In this case Stil ICT does not process personal data from app content, except contact details if you contact us yourself.

4. Online / paid version (server or hybrid use)

If you choose an online or hybrid plan, minimal data is stored as needed to provide the service and to invoice.

4.1 Account and billing data

• Name and contact details of the administrator / applicant
• Email address (sign-in and service messages)
• Company name and invoice details (address, VAT number where applicable)
• Credit, limits and invoice records
• Technical logs needed for security and support (e.g. sign-in time, app version)

Purpose: performance of the contract, invoicing, preventing abuse, and legal bookkeeping duties.

Legal basis: contract (GDPR Art. 6(1)(b)) and legal obligation for invoicing/records (Art. 6(1)(c)).

4.2 Content you enter in the app

In the online environment you may record work orders, assets, photos, messages, stock and organisation users. Stil ICT stores that content only to provide the service (hosting, sync, environment backup).

• Stil ICT does not use this content for marketing.
• Stil ICT does not sell this data.
• Access by Stil ICT is limited to operations, security and support at your request.

Legal basis: contract (GDPR Art. 6(1)(b)).

4.3 Users in your organisation

An administrator may create staff accounts. Those accounts store at least a name or display name, sign-in credentials and role. The environment administrator is responsible for a lawful basis towards those staff members.

5. Website and contact form

If you use the contact form, we receive the name, email, topic and message you submit. Messages go to w.stil@stilict.nl. No automatic confirmation emails are sent to the address you enter.

Legal basis: legitimate interest or pre-contractual communication, depending on your request.

6. Retention

• Invoice and accounting data: as required by law (in the Netherlands typically 7 years).
• Account and environment data: for the duration of the contract, then a reasonable period for wind-down or legal duties.
• Contact messages: as long as needed to handle the request, then no longer than necessary.
• Local app data: as long as you keep it on the device; Stil ICT does not manage it.

7. Sharing with third parties

Data is not sold. Sharing occurs only when needed, for example:

• hosting and infrastructure providers (processors);
• payment or invoicing-related services, where applicable;
• legal obligation or competent authority.

Appropriate agreements are in place with processors (data processing agreements).

8. Security

Online environments are separated per customer tenant. Local-version data stays on your device. You share responsibility for strong passwords, device security and (for local use) your own backups.

9. Transfers outside the EEA

If processors outside the European Economic Area are used, this is done only with appropriate safeguards (such as an adequacy decision or standard contractual clauses), where applicable.

10. Your rights (GDPR)

Subject to the GDPR, you have the right to:

• access, rectification and erasure;
• restriction of processing;
• data portability, where applicable;
• object to processing based on legitimate interests;
• lodge a complaint with the Dutch Data Protection Authority (autoriteitpersoonsgegevens.nl).

Send requests to w.stil@stilict.nl. We may ask you to identify yourself before fulfilling a request.

11. Children

The services are intended for professionals and businesses, not for children.

12. Changes

This policy may be updated. The current version is published on silentservice.nl. Material changes will be communicated to online-environment administrators where reasonable.
